2016 MVPA International Convention in Pleasanton, CA

Post by John Neuenburg » Sun Jan 24, 2016 8:48 am

The 41st Annual Military Vehicle Preservation Association International Convention will be August 11-13, 2016 in Pleasanton, California. Location is Alameda County Fairgrounds. This is in the Tri-Valley Area just over the hills east of the San Francisco East Bay. It's a great location for regional military vehicle owners.

Details are on the Events forum here, and on the G503 calendar.
viewtopic.php?f=38&t=265856

Note there are multiple pages of posts.

Official MVPA info and registration forms are on the MVPA website:
http://www.mvpa.org/home/mvpa-conventio ... onvention/

We will schedule a walk-around for committee volunteers in June. Watch for news in MVCC News. The MVPA Board did a tour in December during their Board Meeting a the Host Hotel. We were able to include some committee members but we couldn't announce this early and have a large crowd due to an event going on at the fairgrounds.

Re: 2016 MVPA International Convention in Pleasanton, CA

Post by John Neuenburg » Mon Feb 29, 2016 1:47 pm

We have some important news about our host hotel room block. As of May 6, our blocks of rooms for Tuesday August 9 and Wednesday August 10 are now booked. As you know we have a rate of $119 plus tax at the Doubletree by Hilton Pleasanton at the Club. This is very good for a nice hotel in the area. Their normal rate for August is in the $230-289 area! This is a LOT higher than when we started our relationship. BUT there is a Tuesday option - read on....

We have a specific number of room nights blocked at our rate for each night of the show between Tuesday and Sunday night with the largest numbers being for Thursday and Friday. More people booked on Tuesday than we forecasted. We were not allowed to move room nights from Thursday to Tuesday, BUT we negotiated 10 rooms on Tuesday at a discounted rate of $189. That is the best we could do and they won't last. We know a lot of people will want to be in the area Tuesday to get an early start on setup day which is Wednesday. So if you want to be at the Host Hotel you can pay $70 more to add Tuesday, or book at another hotel, or camp at ACF, or commute from home. (EDIT on May 8: Wednesday is now booked and we do not have a $189 rate for Wednesday). We hope you stay as many nights as you can at Doubletree because we think you will like the experience, there will be a complimentary convention shuttle bus to and from the show (this avoids the ACF parking fee if you are not a committee person with a free parking pass), the bar and patio will be popular meet-and-greet places, and the Awards Banquet is there on Saturday. It is also important that our group consumes all blocked room nights because the MVPA will have to pay for them no matter what! This affects the bottom line of the convention.

What is not shown on our custom reservation page http://doubletree.hilton.com/en/dt/grou ... ndex.jhtml
is that we contracted a $129 rate from the previous Friday through Monday night for "early birds." We also have a $169 rate for Monday to Wednesday after the show. So for tourists who want to make Pleasanton their base of operations for days before and after the convention, take a good look at the Doubletree. We know of some people planning to arrive at the Doubletree the weekend before, and they are going up to Napa to do wine tasting on Tuesday-Wednesday, and coming back to Doubletree during the convention. This is a good way to beat the higher rate mid-week. Something to think about.....

To close, if you are on the reservation page and you select days that include Tuesday or Wednesday, it will refuse the $119 rate. Just change the date range to start on Thursday and it will accept your reservation at $119. If you select only Friday the 5th checking out the 9th, it should show the $129 rate, but not if you include Tuesday night. I hope this makes sense. If you talk to a reservation agent (use our code MVC), that person should be able to see these various discounted rates. If you want the $169 rate on Tuesday, call Tiffany Choi, our account manager, ASAP at 925-737-5607. This is not available via the reservation system. FYI the normal Tuesday rate is WAY more!

We had a great event at Tower Park and now on to the Big Show August 11-13, 2016! If you are planning to display a MV at the convention, please register it and yourself using the MVPA forms in Supply Line magazine or available at http://www.MVPA.org on the convention page. There are a couple ways to send this in and you can even register over the phone with Tracey or Susan. If you register yourself and later decide to add a MV, just send in another form or phone MVPA.

The Vehicle Committee Chairman Dan McCluskey, and the Convention Committee Co-Chairmen will soon be fleshing out what will go where. All vehicles will be placed on a matrix/map in one of seven distinct areas, indoors or out. Your early registration helps us. We have the ability to shrink or expand our outdoor square footage and this affects our facility rental cost. We are hoping for a large MV turnout like we get at Tower Park and more! If YOU bring YOUR MV, even more than one, this will happen.

You must be a MVPA member or a guest of a member to pre-register to attend the show, and to purchase excursion or dinner tickets (these will likely sell out). Only MVPA members can register and show a MV. There are several membership levels with the lowest price being the E-Membership at $35 per year. Unlike most car shows there is NO CHARGE to register a Display Only MV. There is a charge for For Sale and Judged MVs and we hope you have yours judged. It does not have to be perfect - see how it does! If you need more lines for MVs on the form, use a second form or a piece of paper. We want volume and restoration quality or completeness is irrelevant. Every vehicle is interesting to somebody.

MVCC membership is irrelevant to attending this event, however MVCC members will be able to claim for hosting what will be a memorable show!

Please download and print the convention flyer and keep a few with you in your travels. When you see a MV parked somewhere, put the flyer under its wiper or give it to the owner. There are more unaffiliated MV owners out there than club members, and we want to let them know a convention is coming to town. Here is the flyer:
http://www.mvccnews.net/16_conv/Convent ... 0flyer.pdf
It shows the general admission pricing, not the MVPA member/guest pricing. Note there is no inexpensive single-day Thursday ticket, which is the best shopping day.

Current and prospective Convention Committee members are listed on the Member Only side of http://www.MVCCNews.net. If you don't yet have a login name and password to view this (and the current newsletter in color), contact Webmaster Sean Nichols at jetnoise400@hotmail.com. We will soon be eliminating the names shown in red which were "possibles." Look for your name in black in the alpha list and on the committee lists. If you see something that needs changing, let us know. Our contact info is on the page. Please volunteer to help even if only for a few hours.

Committee Members will receive a free, STAFF-marked event T-shirt plus FREE PARKING up to the limit of the free passes we received from ACF as part of our contract. These will go to people according to seniority on a committee. Otherwise, ACF charges $10/day for parking with no return rights, or a multi-day pass can be purchased for $8/day with return rights. Committee membership does not bring a registration discount. Please register like any other MVPA member.

Host hotel only has 11 rooms available for Thursday, 7 rooms for Friday, 20 rooms for Saturday, at our special $119 rate, tic....tic....tic....

Excursions are almost sold out. I'd phone MVPA if you want in. If one is sold out, ask if they will put you on a wait list in case we/they book another motor coach. And send me an email if you do want to be on a list.

We had a convention committee walkaround last week at ACF. Things are shaping up. On the members-only side of www.MVCCNews.net the committees are published with job descriptions, members, and committee heads. There is a master list of members which includes some people who have not yet confirmed if they want to help in any way. So please go there and if you see something that needs editing, please send me a note!

Reminder that most of the general convention chatter on the G is on the Events forum thread. Within a day I'll post where we are with vehicles, hotel rooms, tours, and some info about trailer parking. There will be a lot of info in the newsletter our MVCC members will receive this week so read all this closely.

If you have not registered please do so ASAP and include a vehicle or three! If you don't have enough lines on the MVPA form, send them a second sheet or any piece of paper. Or do it all on the phone with their office staff. Let's show the out-of-area visitors we know how to put together a vehicle show.

By the way, if you like TANKS you do not want to miss this event!

Quick question, what time can people with a vehicle on "display only" take their vehicle out of the display area? Hope it would be OK to get it on Saturday after the show is over, rather than Sunday. If Sunday only, what time will it start?

I had a question as well if anyone knows. I registered to bring my 1941 1/2 ton command car which will be "under construction", and thought it would be nice to display an MV in the process of restoration. I don't have brakes, seats or have it running yet. I looked on the MVCC site and it says that one has to park a ways a way from the site and drive down Road 8 to get to the entrance. Anyone know if one can get closer to the display area to unload? Not sure if it would be worth the hassle to bring an inoperable vehicle. I could bring another vehicle in its place if so, but it wouldn't be registered.

To those two questions, vehicles may be removed Saturday at 5 pm which is closing time. The buildings and perimeter will be locked shortly after that just like the other days. Then it all opens on Sunday morning for more move-out. If anybody needs to leave anything there after Sunday, ACF has locked storage yards.

Good idea about displaying an in-progress vehicle. Every vehicle is interesting to someone and since one of our goals is to have a lot of Dodges we welcome your truck Zepher11. It is possible to get very close with a truck and trailer to unload a non-running vehicle any day. Then we have plenty of hands to push it or even tow with a strap or rope. On setup day, Wednesday, we'll have the most room and it might be possible to bring the trailer right to where the MV will end up. Arrival on Thursday-Saturday is best before 0800.

Wednesday we'll have vehicle check-in lanes on Road 8 just past the "Green Gate." This is along the south side of the Walnut Grove dry campground. You can come in with it on trailer, get checked-in and your window sign. Then pull forward into the parking lot to unload there or be directed somewhere else. On show days we may do check-in farther east at what we call the "Grizzly Gate" by the Camp Grizzly display lawn. There will be signs to follow.

We have quite a bit of convention info on our website here http://www.mvccnews.net/convention.html and the newsletter members will get before the show will have a nice grounds map showing where campers, MVs, and vendors enter.
The MVPA also has a grounds map on their convention page. It shows the entry route from Gate 12 which is the entry gate on non-show days or for going to the RV North full time RV park. This route shows how to get to the Main Parking Lot and it also happens to be how vendors will drive in. The map in the newsletter shows a lot more detail.

Thank you John. I was having issues with getting the steering installed and working properly, but figured that out today. Plus, I realized that I have the hand brake installed, so I feel a little better about being towed if necessary. D#%@ the torpedoes and full speed ahead. It's coming on down! Looking forward to it... 8)
